The RFQ (Request for Quotation) feature allows you to send shipment requests to one or multiple registered vendors. It automates vendor communication by providing each vendor with a unique link to submit their quote. This ensures faster response times, easier comparison of offers, and seamless integration of vendor quotations into shipment details.
Steps to Send an RFQ
1. Open the RFQ Tab
Navigate to the RFQ tab within an opportunity.
Click on the + RFQ button.
2. Auto-Fill RFQ Details
Once you click + RFQ, the system automatically fills in shipment details from the Opportunity.
Verify that shipment data such as cargo type, weight, and destination are correct.
3. Select Vendors
Choose one or multiple vendors from your registered vendor list.
Each vendor will receive a unique RFQ link where they can submit their quote.
4. Monitor RFQ Status
After sending, the RFQ will appear in the RFQ list with a status.
Requested → RFQ has been sent but vendor has not responded.
Received → Vendor has submitted their quotation.
5. Review and Manage Vendor Quotes
Open the RFQ list to review vendor-submitted quotes.
Actions available:
Accept an RFQ → The selected vendor’s quote is confirmed.
Reject an RFQ → Declines the vendor’s quote.
Once you accept one RFQ, all other vendor RFQ links become inactive to avoid multiple confirmations.
6. Auto-Add to Shipment Details
The accepted vendor’s quotation is automatically added to the Shipment Details.
This ensures there is no duplicate data entry and all shipment costs are recorded in one place.
Customizing RFQ Fields
You can customize the fields that are part of the RFQ form sent to vendors.
Only the selected fields will be visible to vendors when they open the RFQ link.
To configure:
Go to System Settings → RFQ Settings.
Select the fields you want vendors to view and fill in.
Save your settings.
This ensures vendors see only relevant information while submitting their quotations.
