The Create Quotation screen in LogixCRM is designed to help you generate professional and accurate quotations tailored to the logistics industry. The system will allow you to create quotations for different Business Models - Transporation; Warehousing; Freight Forwarding. This screen form fields changes as per the business model of the quotation. The screen offers options to create a comprehensive quotation.
Create Quotation Screen
1. Quotation Header
Quotation Number: A unique identifier for the quotation.
Quotation Date: The date the quotation is created (e.g., 08-03-2025).
2. Freight Details
This section captures essential information about the freight and services being quoted.
Type: Select the type of freight (e.g., Air, Sea, Land).
Owner: The team member responsible for the quotation (e.g., "support").
Invoice Value: Enter the total value of the invoice.
Invoice Currency: Select the currency for the invoice (e.g., USD, EUR).
Special Service: Choose any special services required (e.g., refrigeration, hazardous material handling).
3. Sender & Receiver Details
This section includes details about the sender & receiver details.
Name: Name of the sender or receiver
Address: Address of the sender or receiver.
Country: Select the sender or receiver country.
4. Quotation Type
Question Type: Select the type of quotation (e.g., "Spot Rate").
5. Expiry Date
Expiry Date: Set the validity period for the quotation (e.g., 07-04-2025).
6. Created By
Created By: The user who created the quotation (e.g., "support").
7. Forwarder Details
Forwarder: Select the forwarder responsible for handling the shipment.
8. Incoterm
Incoterm: Select the applicable Incoterm (e.g., FOB, CIF).
9. Service
Service: Choose the service type (e.g., Air Export, Sea Freight).
10. Packages Section
This section allows you to specify details about the packages being shipped.
Package Type: Select the type of package (e.g., Box, Pallet, Container).
Quantity: Enter the number of packages.
LxBxH: Specify the length, breadth, and height of the package.
Actual Wt: Enter the actual weight of the package.
Charge Wt: Enter the chargeable weight (if different from the actual weight).
Actual Vol: Enter the actual volume of the package.
Charge Vol: Enter the chargeable volume (if different from the actual volume).
COE: Specify Country Of Origin
11. Charges Section
This section allows you to define income and expenses related to the quotation. You have three flexible options for defining rates
Rate Matrix: Select from predefined rate matrices (set up in Settings) for consistent, contractual pricing. The system automatically copies all applicable rates, calculates charges based on package details, and applies contractual discounts - ideal for existing customers with agreed rates.
Generate by ALYA: Let the AI assistant analyze historical data and market conditions to suggest optimal rates with the highest closing probability and balanced margins. ALYA considers success patterns, customer profiles, and current market trends - perfect for spot quotes or new customers.
Add Charges Manually: Enter custom rates directly for special cases or exceptions. You can specify charge types (shipping, handling etc.), calculation methods (fixed, per unit, percentage), and amounts - useful for one-time adjustments or unique scenarios.
The system supports both spot rate calculations (based on shipment details and market conditions) and contractual rate applications (exactly as defined in your matrices). Freight Forwarding only supports spot rates.
12. Tax and Total Calculations
This section helps you calculate taxes and totals for the quotation.
Tax Percentage: Enter the applicable tax percentage (e.g., 5%, 10%).
Tax Amount: The system automatically calculates the tax amount based on the tax percentage.
Total Income: The sum of all income charges.
Total Expenses: The sum of all expense charges.
Exchange Rate: Enter the exchange rate if the quotation involves multiple currencies.
Margin %: Enter the desired profit margin for the quotation.
13. Payment Terms Section
This section allows you to define the payment terms for the quotation.
Use Template: Select a pre-defined payment terms template for quick and consistent application.
Example: "Net 30," "50% Advance, 50% on Delivery."
Custom Payment Terms: If no template is selected, you can manually enter the payment terms.
Save As Template: Save the current payment terms as a template for future use.
After Saving a Quotation
1. Unique Quotation Number
Once you save a quotation, the system automatically generates a unique quotation number.
This number helps you easily identify and track the quotation throughout its lifecycle.
2. Download Quotation as PDF
After saving, you can download the quotation as a PDF for offline use or printing.
The PDF will include all details, such as freight information, charges, payment terms, and customer details.
3. Email the Quotation to the Customer
You can directly email the quotation to the customer from within LogixCRM.
The system allows you to customize the email message and attach the quotation PDF.
4. Save Quotation as Template
You can save the quotation as a template that can be used in the future for quickly creating a new quotation
5. Accepted By Customer
The option Accepted By Customer allow you to update the quotation is accepted by the customer. As the button is clicked the quotation status is updated as Accepted for the specific version.
Tracking Quotation Communication
1. Inbox Tab
All email conversations related to the quotation are accessible in the Inbox tab.
You can view both SENT and RECEIVED emails in one place.
This feature ensures you have a complete record of all communication with the customer.
2. Documents Section
Any documents sent or received via email are automatically saved in the Documents section.
This includes attachments like contracts, invoices, or additional quotations.
You can organize and access these documents easily for future reference.
Creating New Versions of a Quotation
1. New Version of a Quotation
If you need to make changes to an existing quotation, you can create a new version of it.
This ensures that the original quotation remains unchanged while allowing you to update details like rates, services, or terms.
Each version is tracked, so you can review the history of changes.
